TITLE: Volunteer Coordinator

JOB SUMMARY:
RIPR’S Volunteer Coordinator is responsible for the daily management of our volunteer program including recruitment, training, volunteer placement, and volunteer recognition. The coordinator will be actively involved with volunteers, volunteer events, and creating a community of togetherness aiming for retention.
VISION:
RIPR’s Volunteer Coordinator will arrange all details of volunteering and keep all parties informed. The VC will maintain a welcoming environment offering education. Our focus is to align volunteers with opportunities that suit their skill sets, ensure they understand their responsibilities and receive consistent training. This position is supervised by: Facility Manager, Executive Director
DUTIES:
• Recruiting volunteer staff • Hosting orientations for potential volunteers • Supervising volunteers • Organizing training and lead on-the-job training • Hosting assessments and Tier group assignments • Completion of monthly volunteer schedule • Highlighting or recognizing volunteer accomplishments • Selecting volunteer of the month – approved by ED • Scheduling volunteers for ongoing tasks as well as staffed events • Network with local High schools, colleges, day programs for recruits and job postings • Coordinates volunteer recognition and appreciation events • Keep new and existing volunteers informed about RIPR our organization and volunteer opportunities
ESSENTIAL FUNCTIONS OF THE JOB INCLUDE:
Supervisory Responsibilities
1. Together with Director welcome onboard, train and engage new staff. 2. Together with Management staff, onboard, train and engage volunteers. 3. Schedule, train, coach, and provide feedback to staff including assessment reviews and disciplinary action. 4. Preparing codes of conduct and operating procedures to uphold the RIPR’s mission. 5. Revisit, edit, and update RIPR’s Volunteer handbook quarterly 6. Implement a variety of methods of communication with staff & volunteers including AM “pow-wow” meetings, one-on-one’s, other verbal, or written communication methods such as Basecamp. Administrative/Organizational Responsibilities 1. Responsible for overall volunteer outlook and engagement. Together with management team members, enrichment coordinator and director, adjust to new procedures and trainings as needed to improve volunteer understanding. 2. Create, maintain, and distribute departmental changes in procedure including, but not limited to cleaning, restocking, training, free-space time, daily rounds, and all aspects of volunteering not obviously under the responsibility of another department. 3. Plan and execute fun, engaging and informative trainings for staff 4. Work closely with management team to ensure all staff are trained and held accountable for tasks related to our flock. Departmental Responsibilities: 1. Assigns, schedules, and grades completed Tier Assessments for volunteer staff 2. Regularly communicates with volunteers to ensure placement is a good fit for individual skills and goals. 3. Ensure shifts are staffed properly and effectively 4. Create and maintain volunteer training modules for through understanding of content 5. Weekly meeting with Executive Director 6. Maintain inventory log and condition of RIPR smocks a. Stock volunteer shelves 7. Create, send, and provide feedback from volunteer surveys and volunteer exit surveys 8. Assess opportunities for volunteers to assist with the workload in Volunteer Coordination by becoming part of the team.
POSITION SPECIFICATIONS:
1. Required a. Inherent love for animals b. Excellent verbal and written communication skills. c. Excellent organizational skills and attention to detail. d. Strong leadership skills with ability to motivate and encourage others. e. Proficient with Microsoft Office Suite or related software f. Demonstrated understanding of companion animal behavior g. Volunteer minimum 12 months, or 2-year degree related to management h. Skills in working independently as well as on teams i. Proven ability to handle multiple tasks in a busy workplace environment j. Must complete RIPR’s OAC or Volunteer Training Modules
WORKING CONDITIONS:
1. Indoors in a high noise air-conditioned/heated building, outdoors at shelter or onlocation for various activities 2. Equipment use: a. Includes use of PC, TV, printer, copy machine, telephone, hand tools, cleaning equipment and supplies 3. Work hours: a. Work hours may vary b. Weekdays AM shift 9a-12a, PM shift 12p-3p c. Weekend hours 9a-3pm d. Some evening and weekend and holiday hours will be required e. Shared on-call responsibilities (via phone/BaseCamp and in person at the rescue) This position description in no way states or implies that these are the only duties to be performed by the employee occupying this position.
